Terms & Conditions

Welcome to The Art Club! These terms and conditions set out what you and your child can

expect from the club, and what we ask of families in return.

1. About the club

• The Art Club is an after-school art club run by Bec Hopkins (@bechopkinsart), held on-site at

Fishbourne CE Primary School.

• Sessions run weekly during term time, Tuesdays from 10th November til 15th December after school til 4.15pm. Exact

dates for each half-term are published in advance.

• The club is open to children in years 1-6, subject to availability.

2. Booking and payment

• Places are booked and paid for in advance via www.bechopkins.co.uk, on a half-termly basis.

• The cost is paid per half-term / £8 per session, covering all materials.

• Places are limited and offered on a first-come, first-served basis. Booking a place does not guarantee a place in future half-terms.

• Payment confirms your child's place. Places cannot be held without payment.

3. Cancellations and refunds

• If your child cannot attend a session, please let us know in advance where possible. Missed sessions cannot usually be refunded or credited, except where the club itself cancels a session.

• If a session is cancelled by us (for example due to staff illness, weather, or school closure), we will

offer a make-up session or a refund/credit for that session.

• If you wish to withdraw your child from the club, please give at least 14 days' notice. Fees already

paid for that half-term are non-refundable, except in exceptional circumstances at our discretion.

4. Drop-off and collection

• Children should be brought to and collected from school office promptly at the end of each session.

• Please let us know in writing if someone other than a parent/carer will be collecting your child.

• If your child is not collected by the end of the session and we are unable to reach a parent/carer, we will follow the school's late collection procedure.

5. Health, safety and medical information

• Any allergies, medical conditions, or additional needs we should be aware of must be provided on the Club's consent form before your child's first session.

• Please inform us of any changes to your child's medical information as soon as possible.

• We will take reasonable care to keep children safe during sessions, including safe use of art materials

and tools. Some activities may involve materials such as paint, glue, scissors, and small collage pieces,

which are used under supervision.

• Children should not attend if they are unwell, in line with the school's usual illness guidance.

6. Behaviour

• We want The Art Club to be a warm, creative, and inclusive space for every child. We ask that

children treat staff, helpers, and one another with kindness and respect.

• We reserve the right to discuss any repeated behavioural concerns with parents/carers, and, in serious

cases, to withdraw a child's place. Where possible, this will only happen after other options have been

discussed with you.

7. Photography, social media and data (GDPR)

• With your consent (given on the separate consent form), photographs of your child's work and/or your

child taking part in sessions may be used on @bechopkinsart social media and the school's social

media, newsletters, or promotional materials.

• Personal information provided for the club (including medical and contact details) is held securely and

used only for the purposes of running the club, in line with UK GDPR. It is not shared with third

parties except where necessary for your child's safety.

• You may withdraw photography consent at any time by contacting Bec directly; this will not affect

your child's place at the club.

8. Liability

• We take reasonable care of children and their belongings during sessions but cannot accept

responsibility for loss or damage to personal property brought to the club.

• The Art Club holds public liability insurance for the activities it runs.

9. Changes to these terms

We may need to update these terms from time to time, for example to reflect changes to fees, timings, or

venue arrangements. Where possible, we will let families know of any significant changes in advance.
